ASCILITE 2026 Conference
In 2026, we are trialling a new approach to hosting our annual conference. Instead of co-hosting with a university, the ASCILITE Executive will manage the conference.
The location has been chosen (Rydges Hotel, Brisbane) and we are now calling for volunteers from the membership to assist in the organising committees which will be chaired by the current Vice President, Elaine Huber.
We have outlined the various roles required along with an outline of their responsibilities. It is difficult to estimate the exact time requirement as this will ebb and flow across the year with different ‘busy’ periods for each. The teams will meet regularly across the year and will be joined by the Conference Chair.

Conference Program Team
The conference program team will:
- Identify the overall structure of the conference in terms of days and hours;
- Select a conference theme that is consistent with contemporary research;
- Identify and select suitable keynote and invited speakers in consultation with the ASCILITE Executive; and ensure that they relate to the conference theme and/or streams;
- Oversee the conference program details through liaison with the publications team; and
- Disseminate updates to the program through communication channels such as the ASCILITE Bulletin, social media, etc in a timely manner;
Website Development Team
The website development team will include a web-developer (where possible) and will:
- Establish the conference website (on the ASCILITE web platform) including dates and conference theme;
- Add conference information as soon as it becomes available;
- Liaise with Event Project Coordinator regarding the development of the Conference App;
- Check the online registration system is functional;
- Liaise with the sponsorship team to update any relevant information; and
- Include Social Media Feed, such as Twitter.
Submissions and Proceedings Management Team
The submissions management team will:
- Liaise with ASCILITE Executive through the ASCILITE Liaison at every stage of the submissions and program process;
- Set up, configure and manage an online submission system (ASCILITE Publishing System) in consultation with the ASCILITE Executive;
- Develop and organise the review process and criteria in consultation with the ASCILITE Executive;
- Recruit and communicate with reviewers (via ASCILITE database) and brief them on their role and the submission procedure;
- Liaise with ASCILITE Executive regarding the production of ASCILITE Live! webinars and/or TELblog posts for new/returning reviewers and encourage attendance where appropriate;
- Develop submission guidelines, including recommendations for range of submission types;
- Organise calls for participation in each submission category;
- Organise physical aspects of all sessions, including workshops and poster sessions. Poster presentation layout needs to be centrally located, preferably close to sponsors and food, and can accommodate high foot traffic;
- Ensure that submission open and closing dates are met, and that a time buffer is factored in, for example, for late reviews;
- Ensure that accepted submissions are consistent with the conference theme and quality of papers expected at the conference;
- Notify authors of paper acceptance and rejection in a timely manner as well as providing constructive feedback;
- Develop and organise publishing guidelines (based on previous templates);
- Edit and organise production of the proceedings for the website;
- Produce the proceedings as both one combined download and as separate papers (PDFs), making these available online via the conference website. Add DOI to the citation;
- Add at the end of each paper a suggested citation (in APA formatting) for ease of referencing; and
- Seek copyright permissions from authors at the point of submission. This can be part of the submissions process. Currently, copyright is via Creative Commons licensing – Creative Commons Attribution 4.0 International License.
Sponsorship Team
The sponsorship team will:
- Compile a potential sponsor list using previous year’s sponsor contacts as a starting point;
- Develop an attractive sponsorship prospectus;
- Contact, discuss and negotiate sponsorship arrangements with each sponsor (aim to meet each sponsor at the previous year’s conference);
- Follow-up with potential sponsors to ensure that their needs are met before and during the conference;e;
- Advertise sponsors on the conference website as soon as they are finalised; and
- Liaise with the Conference Program team to ensure promotion of specific sponsors throughout the conference, for example, during the Housekeeping sessions; encouraging delegates to visit their trade stands.
